Quandoo switching checklist: 7 steps to your new reservation system

Quandoo is shutting down its service on 30 September 2026. This checklist walks you through the move step by step โ€” from backing up your data to informing your regulars.

Quandoo contracts end automatically when the service shuts down โ€” you do not need to cancel. Still, there is a hard deadline: after 30 September 2026 you can no longer access your data, and your guests can no longer reach your online reservations. So do not leave the switch to the last minute โ€” work through the following seven steps calmly.

Realistically, plan an afternoon for setting up the new system and a few days of buffer for Google, website and team. Everything else happens during normal operations โ€” your restaurant stays bookable online the whole time. Simply work through the quick checklist at the end of this page in order.

What you need for the move: access to your Quandoo account, access to your Google Business Profile, the ability to edit your website (or a line to your agency) โ€” and one or two quiet hours. That really is all.

Step 1: Export guest data and open reservations

First export your guest list and all open reservations from Quandoo โ€” well before 30 September 2026, because after the shutdown there is no access anymore. Download the exports and store them somewhere safe, for example encrypted on your business computer. Briefly check the export for completeness: names, contact details and all upcoming reservations should be included.

On GDPR: this is your restaurant's data โ€” you are and remain the data controller. You may take it over into a new system for the same purpose, managing your reservations. Keep the export only as long as you need it and delete it after the import.

Step 2: Set up the new system

Create your VidiReserve account and start the 30-day trial โ€” no credit card, no automatic renewal. On request you get sample data so you can safely try out the floor plan, reservation book and booking widget before real guests enter the system. The trial includes all features โ€” there is no stripped-down demo version.

Then add your real base data: opening hours, tables and capacities, reservation rules and confirmation texts. If you like, our free setup help walks through these steps together with you โ€” the system is often ready after a single session.

Step 3: Transfer open reservations

Transfer all reservations dated after your switchover into the new system. That way your team works with a single, reliable overview from day one and no guest gets lost in the transition. Mark transferred entries in your export so nothing ends up twice.

A handful of entries is fastest typed in manually. For larger volumes our team helps you import your export file free of charge โ€” just contact support.

Step 4: Update the reservation link in your Google Business Profile

Many guests reserve straight from Google Search or Google Maps. So replace the old Quandoo link in your Google Business Profile with your new VidiReserve reservation link. You find the link in your VidiReserve backoffice; it leads straight to your reservation flow.

After the change, check via Google Search yourself that the reserve button leads to the new flow. This makes sure that from the cut-off date no guest ends up on a dead page. If you run several locations, repeat the step for each profile.

Step 5: Swap the website widget

Replace the Quandoo widget on your website with the VidiReserve booking widget. Embedding is a small code snippet โ€” your web agency does it in minutes, or we support you with it. Until the swap is done, you can simply link your new reservation link on the website in the meantime.

Also think of the less obvious places: links in your email footer, in menu PDFs, in online directories and on your social media profiles.

Step 6: Train your team

Show your team the new workflows: accepting and confirming reservations, assigning tables, adding walk-ins, marking no-shows. The VidiReserve digital reservation book is deliberately simple โ€” one shared shift on the system is usually enough.

Ideally appoint one person on the team who masters the system first and trains the others. Our support is there for any questions.

Step 7: Inform your regulars

Let your regulars know about the new way to reserve โ€” one sentence in the confirmation email, a note at the counter or a short social media post is enough. Guests who used to reserve via Quandoo now find you through your website, your profile and Google Search. If you like, tie the news to an occasion โ€” a new menu, the summer terrace, your next event.

A nice side effect: guests who reserve directly with you are fully yours โ€” including reservation history and contact details for your guest management.
