Integrations: calendar & roster feed
Under Settings → Integrations you connect VidiReserve to tools that should know your events: the roster in VidiClock and your calendar (Google Calendar, Outlook, Apple Calendar). Both read the same feed. Only the owners of the business can see and use this page. The feed belongs to the events module: it is available in all plans that include events, also during the trial.
What the feed delivers
The calendar and roster feed is an address from which your events can be retrieved — for every date the title, date, start and end, areas, total seats, taken and free seats, and the number of open, confirmed and completed bookings (unconfirmed, cancelled, declined and no-show bookings do not count). For a series, every date appears on its own. Paused events are marked as paused, events that are not yet published as drafts; events that are switched off or deleted are left out. If an event has no end time, the feed assumes three hours.
Generating a token
- Open Settings → Integrations and click Generate feed token.
- The page shows the token, the feed address and the calendar address (ICS) once. Copy what you need right away with the Copy buttons.
- VidiReserve does not store the token in plain text. Once you leave the page it cannot be shown again — if it gets lost, simply generate a new one.
Showing events in the VidiClock roster
- In VidiClock, enter the feed address and the token under Settings → Integrations.
- Use Test connection there to check that VidiClock reaches the feed.
VidiClock then fetches your events regularly and shows them in the weekly plan — with time, title and occupancy. This lets you plan your staff around your dates without switching between tools. No shifts are created automatically. Events that are not published yet (drafts) are hidden in VidiClock by default.
Subscribing as a calendar
The calendar address (ICS) already contains the token. It therefore grants access — treat it like a password; if you suspect misuse, click Regenerate. Add it as a calendar subscription:
- Google Calendar (in the browser): click the plus next to “Other calendars”, then From URL.
- Outlook: Add calendar → Subscribe from web.
- Apple Calendar (Mac): File → New Calendar Subscription.
- iPhone and iPad: Settings → Calendar → Accounts → Add Account → Other → Add Subscribed Calendar.
Later, the settings page only shows the calendar address as a pattern with the placeholder <your token>. Insert the token you received when it was generated. If you no longer have it, only Regenerate helps — this breaks existing connections that use the old token.
Calendar apps reload a subscription at their own pace — changes therefore do not appear there right away; with Google it often takes a few hours.
Privacy: what the feed contains — and what it does not
The feed contains no guest data: no names, no email addresses, no phone numbers, no notes and no prices. It only lists events and counts. Anyone who knows the address with the token can, however, see your events and how full they are. Treat the token and the calendar address like a password and only share them with tools you trust.
Disabling, regenerating, revoking
- Disable feed: VidiClock and calendar subscriptions temporarily receive no data; the token stays valid. Enable feed continues without setting anything up again.
- Regenerate (with confirmation): the current token becomes invalid immediately, and a disabled feed becomes active again. Enter the new token in VidiClock and the new calendar address in your calendars.
- Revoke token (with confirmation): the token is deleted and the feed switched off — useful if you no longer use the connection or the token may have fallen into the wrong hands.
