Partner app & devices

With the VidiReserve app you keep your business under control on the go: new reservations, messages and the day overview arrive right on your smartphone. The app is free for iPhone and Android.

Install the app & sign in

Download the VidiReserve app from the Apple App Store or Google Play.

  1. Open the app and sign in with your usual backoffice account.
  2. Enable Save login so you do not have to enter it again at every start.
  3. If you like, unlock sign-in via biometrics (Face ID or fingerprint).

Event bookings in the list

When a reservation belongs to an event, the app shows this directly: from version 1.0.5 the event name appears with 🎉 in the booking list and on the detail screen. Older app versions show Event: <event name> before the internal note instead. The hint is added automatically and never changes your stored notes.

Booking events in the app

From version 1.0.7 the app takes bookings for your events:

  1. Tap New reservation and pick the day.
  2. If an event takes place that day, the field Event appears right below the date, with its start time and free seats.
  3. Selecting it fills in time and duration; you can change the time if the guest arrives earlier. Date and duration stay those of the event.

In the day view a banner for each event of the day sits below the filters ("Today: whisky tasting, 19:00, 16 of 40 seats free"). Tapping it shows only the bookings of that event; the chip with the × clears it again. From the fourth event on, the app sums up the rest as "+n more".

If an event is paused, your guests cannot book it online – but you can, over the phone. The app therefore keeps offering it and marks it as "Paused". Fully booked means fully booked: the server does not accept more seats than are free.

If a deposit or full prepayment is configured for the event, the selection says so (“Payable in advance” plus the price), and below it you see the time span and the duration. A booking made in the app then behaves like a guest booking: if you entered an email address, the guest receives the open invoice with a payment link. If the field is empty, the app warns you before saving – the booking still stands, and you record the payment in the backoffice as “paid” as usual. The same selection field exists in the backoffice under Reservations → New.

Two fields behave differently for an event, on purpose:

  • Table: there is nothing to pick. The event assigns the table from its own room – a house table picked here would have no effect.
  • Company: when creating, the field is left out as well; the event booking path does not carry it. A name already typed is removed visibly instead of silently disappearing on save. When attaching an event afterwards (below), the company stays.

When editing an event booking, date and number of guests are fixed: the event's seat count and the recorded amounts depend on them. If you really need to rebook, cancel and create a new booking.

Attaching an event afterwards (from version 1.0.8)

A reservation that does not belong to any event yet can be attached to an event on the same day while editing it: pick the date, choose the event in the Event field, save. The number of guests stays as it is; the time jumps to the start of the event and remains editable. From the moment you save, the event's duration, price and any deposit apply, the seat is counted right away, and the guest receives their confirmation – with a payment link for prepayment, provided an email address is on file. The house table is dropped (the event assigns the table); if the guest is already seated, they keep it.

The field only appears when attaching is possible: not for group requests, recurring entries, bookings with a redeemed coupon or bookings already cancelled. Moving a booking to a different event or detaching it is still not possible – cancel and create a new booking instead.

When the last seats get tight, the server decides – even if two devices book at the same moment: exactly one booking gets through, the other one is told how many seats are left.

If an event booking is still waiting for payment, the booking detail shows a Resend payment link button. It sends the guest the same booking confirmation once more – with the payment button, the due date and the bank details. It goes out after a confirmation prompt.

The button only appears when there is really something to send: prepayment or deposit, not yet paid, booking not cancelled, a payment method on file and an email address. The same cap applies as in the back office: three times per booking and hour, and both ways count together.

Push notifications

The app tells you what happens in your business – new reservations and guest messages as before, and from version 1.0.9 also event bookings, group requests, paid vouchers and incoming payments and deposits. Allow notifications at first start so you do not miss anything.

You decide what reaches you

In the app open More → Notifications. There is one switch per event. Every switch starts on; what you turn off applies to your account – your colleagues are not affected – and it applies on every device you are signed in on.

You only see the events you are allowed to see: payments and deposits need the Invoices permission or Reservations (edit), paid vouchers need Vouchers, event bookings need Events. If a permission is withdrawn, the matching messages stop right away – even if the switch was on.

The appointment reminder deliberately has no switch: you order it per entry yourself when you create an appointment or catering job.

Money messages carry no guest data: you see the booking or order number and the amount, never a name, an email address or a voucher code. A notification sits on the lock screen, where anyone can read along.

Whether a message was delivered you can see later in the device management. Remember that notifications for this app also have to be allowed in your phone's settings.

Device management

Open Settings → Devices. There you see all registered devices with the user, platform (Apple or Android), status (active or revoked), last activity and the result of the last push notification. The log below helps you trace, in case of doubt, whether a notification arrived.

If a device is lost or an employee leaves, its status changes to revoked so it no longer receives notifications. A new sign-in registers the device again automatically, so you never have to add devices by hand.

Several staff members can use the app at the same time — each signs in with their own account and only receives the notifications relevant to their permissions.
